We're constantly trying to get better at Grunder Landscaping Co., and when you've been in business for 40 years there's always a new project on the horizon. Sometimes the projects are exciting, sometimes it is small things will make a big impact. 
 
This week, I'm sharing one of those little changes in the hopes you can learn from our mistakes: do you have team email inboxes set up?
 
Our office team is working diligently right now to set up an administrative email box and update all accounting, billing, and other accounts and emails so that they use this central inbox. This is a general inbox that is set up so that multiple people can access it which is helpful for two reasons:
 
1. This set up makes it easier for team members to go on vacation and for someone else to cover for their job. Someone else can access this inbox and handle anything urgent that comes into it, or can use the logins to handle tasks as they come due. It allows the team to work more collaboratively and creates a redundancy that may be needed if a team member is unexpectedly sick. 
 
2. This set up makes it easier when a team member is gone or even if they changes roles. The account isn't tied to their name so it won't need shut down, and it makes transferring the responsibilities to another team member easy because we can just update who has access to the account.
 
One thing you have to do to make sure this works: assign ownership. If three people own it then really no one does so make sure you know WHO owns the inbox have set up or plan to set up.
 
I know this seems really simple; many of you reading this are probably thinking "Marty, we've always done this! I can't believe it's taken you this long to think of this!" and to that I say: you're right! It would've been smart to do this years ago, it's not new technology, but doing it now will help our team work together better and create scalable systems so that we're efficient in our office tasks, too. 
 
We have just two Grunder Landscaping Field Trips left for 2025, on October 29-30 and December 4-5, to come see our operation and learn! We are constantly looking for ways to improve our business, and little drips like this one are ways that we make progress over time.
